The Problem With Free Gmail
Every week I talk to business owners in Karachi, Lahore, and Islamabad who are sending client proposals from businessname@gmail.com. Some of them are running operations worth crores of rupees.
The client on the other end sees a free Gmail address and quietly adjusts their expectations. This isn't about appearances alone. It signals something about how you run your business.
There's also a practical problem: when your business email lives inside a personal Gmail account, there's no clean separation between company data and personal data. When an employee leaves, what happens to their emails? When a laptop gets stolen, who owns the files they had on Drive?
What Google Workspace Actually Gives You
Google Workspace (formerly G Suite) is more than professional email. What you actually get:
Email on your own domain
Every team member gets a dedicated address, name@yourcompany.com. When someone leaves, you can transfer their emails and revoke access in seconds, from a central admin console, without calling your hosting provider.
Shared Drives that belong to the company Unlike personal Google Drive, Workspace Shared Drives are owned by the organisation. Files don't disappear when an employee leaves. Folder structures persist. Access is controlled by role, not by whoever created the file.
Google Meet: built in, no friction Calendar invites include a Meet link automatically. Clients join from a browser. No "please download Zoom" messages, no account required on their side.
Admin controls that actually work The Workspace Admin Console lets you enforce 2FA across the entire organisation, manage devices, see who accessed what, and set data retention policies. For a business handling client data, this is not optional infrastructure.
What It Costs in Pakistan
The Business Starter plan is around $6 per user per month. At current exchange rates, that's roughly PKR 1,650–1,700 per user. A five-person team pays approximately PKR 8,500 per month, around the same as one decent restaurant meal for the team.
Compare that to a single lost client because your email didn't look credible. Or a corrupted laptop that wiped your company files because you were using personal Drive.
Most businesses I work with cover the annual cost in the first deal they close after switching.
Setting It Up for a Pakistani Business
The actual process, without the fluff:
1. Get a domain
If you don't have one, buy it. .pk domains via PKNIC cost around PKR 2,000 per year. .com domains from Namecheap or Cloudflare Registrar are $10–12 per year and often easier to manage.
2. Sign up for Google Workspace
Go to workspace.google.com and start the 14-day free trial. You don't need to commit yet.
3. Verify domain ownership
Google will give you a TXT record to add to your DNS settings. Log into your domain registrar's control panel, find DNS management, and paste it in. Propagation takes 5–30 minutes.
4. Set up MX records
This tells the internet to route email to Google's servers instead of your current host. Your registrar's DNS panel is where you do this. Google provides the exact values.
5. Create accounts and migrate
Set up email addresses for each team member. If you have existing email on your hosting provider, Google's migration tool can pull it in automatically.
Steps 3–5 are where most businesses get stuck. If you're not comfortable with DNS records, this is what we handle at Tabzee. We'll set up the entire workspace, migrate your existing email, and make sure nothing gets lost.
Migration, Security, and Paying in Rupees
Your current hosting email can keep running in parallel during the migration. Once everything is confirmed working in Workspace, you cut the old MX records and you're done.
Company data on Google's servers is the safe option for an SMB. Google has considerably more security infrastructure than any local hosting provider in Pakistan and answers to international compliance standards. For most small businesses, Workspace is a good deal more secure than anything self-hosted.
Google charges in USD, so you need a credit or debit card that supports international transactions. Most standard business bank accounts include this.
What's Next
